The Overview

As a UI/UX Designer for this B2B project at tkxel, I was entrusted to architect a workplace management ecosystem from the ground up. Working directly with an international client, I navigated the ambiguity of a "zero-to-one" product to transform fragmented team communication into a centralized, domain-based "Single Source of Truth".

The Challenge

The Coordination Gap: Fragmented Hybrid Workflows
Modern distributed teams suffer from significant operational friction due to manual coordination. Without a centralized view of team availability and workspace assets, organizations face:

  • Operational Blind Spots: Managers lack real-time data on team presence and workspace utilization.
  • Coordination Friction: Employees waste critical focus time messaging back and forth to confirm availability.
  • Asset Confusion: Inefficient meeting scheduling and double-booked rooms lead to resource waste.
  • Hybrid Fatigue: A breakdown in visibility, particularly in remote or hybrid environments, leading to communication silos.

The Research Phase: Insights & Audits

Understanding the Competitive Landscape

To build a superior workspace tool, I conducted a deep-dive Secondary Research and Competitor Analysis.

  • Finding the Gap: Most competitors focused heavily on booking but lacked presence visibility.
  • Strategic Opportunity: Positioned Kettle as a "Presence-First" tool, prioritizing "who is available" alongside "where to work."

Defining User Personas & Pain Points Through client workshops, I mapped the needs of both Employees (seeking focus and desk space) and Managers (seeking team visibility and office utilization data).

Architecting Logic: Strategic User Flow Exploration

To solve the problem at hand, I mapped the entire "Zero-to-One" ecosystem to ensure that high-frequency actions felt effortless. I focused on reducing cognitive load by optimizing four critical pathways:

  • Onboarding & Domain Integrity: Designed a secure entry flow that establishes the company domain immediately via social SSO or shared invites.
  • The Multi-Path Presence Protocol: Mapped complex decision nodes for "In-Office" vs. "Remote" status, ensuring real-time visibility across the team directory without manual pings.
  • Purpose-Driven Booking: Architected a linear flow (Purpose → Space → Time) to eliminate "Asset Confusion" and double-bookings.
  • Search Hierarchy: Optimized how users find colleagues by individual, team, or location, ensuring that "seeing" status is always faster than "asking".
User flow: onboarding (sign up or sign in, workspace domain, create or join a workspace, welcome) and the workplace journey (work mode status, scheduling an event, reservation, viewing others' work mode)

Defining the Users: Strategic Personas

To ground the design in real-world needs, I developed two primary personas that represent the core friction of hybrid work. These archetypes were critical for shifting the product from a generic booking tool to a specialized "Presence-First" ecosystem.

  • Why this was important: These personas allowed me to move beyond "feature requests" and focus on psychological pain points, such as the social anxiety of double-booking or the "logistics dance" of manual coordination.
  • How it shaped the flow: By identifying specific goals, like Trevor’s need for "Collaboration Windows" and Alisha’s requirement for "Deep Work" blocks, I was able to prioritize a Linear Booking Flow that matches their mental models, ensuring they spend less time in the app and more time working.

The Strategic Solution

A Domain-First Ecosystem for Seamless Presence
The core idea was to build a centralized team workspace where companies operate within a single domain, ensuring clarity over communication.

  • Unified Domain Visibility: All employees are instantly discoverable inside one secure system.
  • Dynamic Presence Protocol: Team members update their working status (Available, In-Meeting, Out-of-office) to protect their focus.
  • Frictionless Spatial Booking: A tiered booking system for 1-on-1s, team huddles, and individual focused work.
  • Real-time Availability: Instantly see when a colleague is free without the need for manual pings.

The Design Phase: From Logic to Layout

Rapid Prototyping: Low-Fidelity Wireframes

With the user flows established, I transitioned into wireframing to translate abstract logic into tangible structures. This phase was essential for:

  • Rapid Ideation: Creating low-fidelity layouts allowed me to showcase core concepts and hierarchy to the client quickly, facilitating immediate feedback loops.
  • Validating Structural Logic: These wireframes served as a "blueprint" to ensure that complex features, like the room booking calendar and team directory, remained intuitive before committing to high-fidelity visuals.
  • Iterative Refinement: I used this stage to update and simplify flows based on stakeholder input, ensuring the navigation remained frictionless for our target personas.

Visual Foundation: Product Branding & Style

Since this was a "Zero-to-One" project, I was responsible for establishing the visual DNA of the product from scratch. The goal was to create an interface that felt professional, reliable, and "presence-first."

  • Typography & Legibility: I selected Neue Montreal for its clean, modern aesthetic and exceptional legibility in B2B environments.
  • Strategic Color Palette: I developed a precise "Branding Colors" system anchoring Primary Blue (to command trust), Slate (for typographic depth and readability), and Off-White to ensure the interface remained consistently scannable.
  • Design Elements: I added iconography, UI elements, and imagery to provide a consistent visual language across the entire ecosystem.

A flexible Grotesque typeface designed to capture the spirit of exhibit fonts, it comes in eight weights (4 Roman, 4 Italic) with tighter kerning style for enhanced readability in different contexts, layouts and settings.

High-Fidelity Execution: The Final Product

I translated the validated logic into a polished, resilient B2B experience, ensuring the product was as functional as it was visually compelling.

  • Edge Case Resilience: I designed beyond the "happy path," accounting for empty states, loading transitions, and error handling to ensure a robust user experience.
  • Interactive Prototyping: I developed high-fidelity prototypes to simulate the real-world feel of the app, which served as the primary tool for alignment during C-suite presentations.
  • User-Centric Optimization: By applying UX laws, I ensured that complex actions felt intuitive and required minimal effort for users.
  • Pixel-Perfect Precision: Every component and state, from the 3:2 image aspect ratio to the 8px grid system, was refined for consistency and professional trust.

    Conducted a 4-competitor audit (Robin, Envoy, Kadence, Deskbird) identifying a consistent gap in presence-visibility features across all existing tools, positioning Kettle as the only "Presence-First" workspace solution in its competitive set, a proposition validated through the client's immediate strategic buy-in.

The MVP, delivered in 4 weeks with full C-suite alignment and zero structural pivots, earned immediate client trust and a Version 2 commission to expand into advanced team-sync flows, events planning, and presence analytics.

It reinforced that the most valuable design skill in ambiguous environments is not visual craft, it is the ability to translate unclear business requirements into a clear, scalable product architecture.
